Terms & Conditions

Please review the following terms before booking travel services through Bethany Brewster Travel.

Effective Date: December 1, 2025

By booking travel services through Bethany Brewster Travel, you agree to the following Terms & Conditions:

1. Independent Contractor Status

Bethany Brewster Travel operates as an independent contractor affiliated with Cornerstone Collective.

Bethany Brewster Travel is not an employee, agent, or representative of any airline, cruise line, hotel, tour operator, or other travel supplier. All travel services are arranged through independent third-party providers.

2. Booking & Payment

All reservations require a deposit to confirm your booking. Pricing and availability are subject to change and are not guaranteed until the required deposit is received and processed.

Final payment due dates will be provided at the time of booking. Reservations not paid in full by the supplier's final payment date may be automatically canceled, and cancellation penalties may apply.

Payments may be non-refundable and non-transferable, depending on supplier policies.

Certain suppliers may charge additional processing fees, fuel surcharges, resort fees, gratuities, taxes, or government-imposed fees not included in initial quotes unless otherwise stated.

3. Credit Card Authorization

By providing a credit or debit card to Bethany Brewster Travel, you authorize Bethany Brewster Travel and/or the travel supplier to charge your card for agreed-upon travel services, including deposits, final payments, change fees, cancellation fees, and approved ancillary services.

You confirm that:

  • You are an authorized user of the payment method provided.
  • You will not initiate a chargeback or dispute for legitimate charges related to services authorized by you.
  • You understand that supplier terms and conditions apply in addition to these Terms.

In the event of a disputed charge that is later determined to be valid, you agree to reimburse Bethany Brewster Travel for any associated administrative, legal, or recovery costs.

4. Pricing & Errors

Quotes are based on availability and supplier pricing at the time provided. Pricing is not guaranteed until deposit is applied.

In the event of a pricing error (including supplier system errors), you will be notified and given the option to accept the corrected price or cancel without penalty prior to confirmation.

5. Cancellations & Changes

Cancellation and change policies are determined solely by the travel supplier.

Change and cancellation fees may apply in addition to any agency service fees.

No refunds will be issued for unused services, missed flights, no-shows, voluntary itinerary changes, or early departures unless permitted by the supplier.

6. Agency Service Fees

Bethany Brewster Travel may charge planning, research, booking, change, cancellation, or consultation service fees. These fees are separate from supplier penalties and are non-refundable.

Any applicable service fees will be disclosed prior to booking.

7. Force Majeure

Bethany Brewster Travel is not liable for failure or delay in performance due to circumstances beyond reasonable control, including but not limited to natural disasters, severe weather, acts of God, war, terrorism, strikes, government restrictions, border closures, public health emergencies, pandemics, or supplier bankruptcy.

Refunds and compensation in such events are subject solely to the policies of the travel supplier.

8. Travel Insurance

Travel insurance is strongly recommended to protect against unforeseen circumstances including illness, injury, trip cancellation, delays, or lost baggage.

If you decline travel insurance, you assume all financial risks associated with travel disruptions.

Clients declining coverage may be required to sign a travel insurance waiver.

9. Travel Documents

Clients are solely responsible for ensuring possession of valid passports, visas, REAL ID compliance (for domestic air travel), and any required entry documentation.

Many international destinations require passports valid for at least six (6) months beyond the return date; however, requirements vary by country and must be independently verified by the traveler.

Failure to obtain proper documentation may result in denied boarding or entry, for which Bethany Brewster Travel is not responsible.

10. Health Requirements

Travelers are responsible for understanding and complying with all health, vaccination, testing, or entry requirements imposed by airlines, cruise lines, or destination governments.

11. Supplier Responsibility

Travel suppliers (including airlines, cruise lines, hotels, tour operators, and transportation providers) are independent contractors and are not agents or employees of Bethany Brewster Travel.

Bethany Brewster Travel is not responsible for acts, omissions, errors, bankruptcy, delays, schedule changes, or service failures of suppliers.

12. Limitation of Liability

Bethany Brewster Travel shall not be liable for any loss, injury, damage, delay, inconvenience, or expense arising from travel arrangements or acts of third parties.

In no event shall liability exceed the total amount paid to Bethany Brewster Travel for services rendered.

13. Client Responsibility

Clients agree to:

  • Provide accurate traveler names exactly as they appear on government-issued identification
  • Review confirmations within 24–48 hours of receipt
  • Notify the agency immediately of any errors
  • Arrive at departure locations within recommended timeframes

Failure to do so may result in penalties or denied boarding.

14. Governing Law

These Terms & Conditions shall be governed by the laws of the State of Texas. Any disputes shall be resolved in the courts of the State of Texas.

15. Agreement

By confirming a booking and/or submitting payment, you acknowledge that you have read, understood, and agree to these Terms & Conditions.
